Minutes of Board Meeting - August 8, 2006
Other Attendees: Deborah Boyd-Director, NSB Visitors Bureau and Rick Sterba-Chamber of Commerce, and Edee Dalke-Orlando Sentinel. Chairman Terry Roberts called the meeting to order at 1:00 p.m. Deborah Boyd called roll.


PUBLIC PARTICIPATION
There was no public participation.

MINUTES

On a motion by Doug Hudson, seconded by Patty Post, the Board approved the Board Meeting minutes of July 11, 2006.

On a motion by Patty Post, seconded by Ted Ruta the Board approved the minutes of the Marketing & Advertising Meeting of July 6, 2006.

On a motion by Patty Post, seconded by Doug Hodson the Board
approved the minutes of the Marketing & Advertising Meeting of
July 25, 2006.





CHAIRMAN'S REPORT - Terry Roberts

Terry expressed his pleasure with the collateral material - golf
brochure and post cards - that were distributed.Deborah shared that
the postcards were available for all.Terry also shared that
Councilman Hayman was impressed with the accommodator appreciation
breakfast and would like to open the County Council meeting on
Thursday with the Radio Disney information.Terry was excited about
Southeast Volusia's direction.



Promotional Concert - Terry informed the Board that
on October 6-8, 2006 a benefit concert called 'Corn Stock'
will be coming to town.The New Smyrna Speedway has signed a 5-year
agreement with the promoters of concert, which will benefit Habitat
for Humanity and Homes for the Troops.The numbers should be large
with big named bands.Deborah to work with the accommodators with
arranging discounts and knowing where there is availability.Patty
asked that all accommodators be e-mailed.



AMA - Motor Cross - Deborah shared that she saw the
film of the motor cross race and was impressed.Terry feels it would
be a good event for NewSmyrnaBeach with national exposure.Melynda
feels it is very family oriented.Doug shared that the merchants on
Canal Street are behind it.Deborah shared they are looking for a
letter of support.



On a motion by Patty Post, seconded by Melynda Sachs the Board
unanimously approved having Deborah write up a letter of support
for the AMA - Motor Cross race to come to New Smyrna Beach. The
letter will be submitted to Andy Patlemaerts.





ADVERTISING AGENT'S REPORT / VIC
REPORT
- Deborah Boyd

June figures -
Deborah was happy to report the collections were up $10,000 for
June.She shared that all of Volusia was up.

Radio Disney
Event - The first Radio Disney event has been scheduled for
September 2, 2006 from 10:00 - 12:00.Flyers are being finalized and
will be distributed to elementary schools around VolusiaCounty.The
event will take place rain or shine.Two tents with VisitorsCenter,
Canal Street and Flagler Avenue merchants will be there to pass out
information and coupons.Deborah will try to set up a representative
from the water taxi.Melynda asked to inform all the
accommodators.



Daily Buzz -
The promotion is already in place and spots are running.This is a
2-month promotion with contests, weather sponsorships and more.It
was well worth the $17,000 investment.



Buddy asked Deborah about the percent the money market is
yielding.Deborah thought it was 2%.Buddy asked that Deborah look
into the State Farm bank.Deborah will look into county stipulations
and see if she could find a better percentage rate.





COMMITTEE REPORTS

Marketing & Advertising Committee - Patty Post

Patty shared that the Youngstown, Ohio deal presented by Bill
Denmark has fallen through.Deborah shared the good news that a
Radio Disney deal in Illinois with the Sanford Orlando airport and
Alliance Airlines will include NewSmyrnaBeach.



Arial banner.Deborah shared that a banner could be run up and down
the beach for four (4) hours for $1,300.To produce the banner would
cost $2,500.It could be run Labor Day weekend.Patty suggested
running it around the football games up north saying something like
'Don't you wish you were in NewSmyrnaBeach'.Terry asked
if anyone saw that Miami was targeting kids in their ads.



Melynda would like Deborah to look into putting signage on a vendor
trailer selling hats, t-shirts, etc. at Harley Davison and Nascar
events.The cost would only be $750.Deborah will investigate.Ted
feels that this is the time of year the Villages should be a
focus.



Disney Event - Would like to get some news stories
regarding our first event with Radio Disney.Deborah shared that a
news release being prepared.



Bright House - Deborah shared that the SVAA will run
a series of ads with Bright House on August 14 - September 3 for
the cost of $8,814.00.Terry asked if additional ads were given.

On a motion from Cliff Wharin, seconded by Ted Ruta, the Board
approved the Bright House schedule.

Clear Channel - Deborah reported that the radio ads
are currently running.

Rick Sterba asked if the SVAA have done anything about the water
taxi.He was curious if they are being distributed to all the
condos.Pets and bikes are currently allowed.Buddy shared that
Riverview does not have the parking spaces nor the dock is ADA
approved.Rick felt the scheduling is being ironed out.

DBIA Working Group - Clifford Wharin.No meeting was
held this month.





FINANCIALS - Cliff Wharin

Cliff reviewed the financials.He shared that our finances have
improved with the bringing marketing in house.Cliff feels that we
are headed in the right direction.



Lease extension - Cliff shared that the rent going up
$100 for each of the next 3 years.Deborah shared that we are able
to get out of lease in January of the beginning of calendar
year.Patty thought that the County put a 2-year limit on
contracts.Deborah said as long as we could get out of it
shouldn't matter.Terry was only concerned that if a better
location came available closer to I-95.The Board agreed to have
Deborah sign the 3-year contract.



Disney addendum - Patty feels it is fine as
presented.Ted was concerned with paragraph 4.Deborah shared they
only revised the second paragraph.He feels it reads that 12 months
after termination they could go to another beach.Patty feels that
would give us first right of refusal.The Board agreed to go with
the addendum as written.





NEW/OLD BUSINESS

There was no new business.There was no old business.

The next Board Meeting is scheduled for September 12 at 1:00
pm.

Having no further business, the meeting adjourned at 1:55 p.m.
